Straight answers

Do I need to replace my CRM?+

No. We're designed to operate around the scheduling and customer-management software your team already uses, where technical access permits. You shouldn't have to maintain a second CRM to work with us.

Who pays for advertising?+

You do, directly to the ad platform (e.g., Meta). We manage the campaigns; the ad spend itself is never financed or marked up by us. Management of spend above the included $5,000/mo is billed at 10% of the amount over $5,000.

Can I buy only one engine?+

Yes. The Lead Engine and Booking Engine are sold separately, and standardized modules are available (with a $750 setup / $500-per-month floor) when your existing systems support the workflow.

What counts as a processed lead?+

A unique new inquiry that enters the Booking Engine and triggers contact, qualification, nurture, routing, or booking activity. Obvious spam, vendor solicitation, test records, exact duplicates, and internal testing don't count. A lead doesn't have to book to count, costs are incurred while responding and qualifying.

What happens when usage exceeds the included amount?+

Prepaid capacity packs apply first ($250 per 25 additional processed leads, which also add SMS and voice allowance). Only after your base allowance and any packs are used does line-item overflow apply, and never both against the same usage.

How are SMS segments calculated?+

By billable carrier segment ($0.06 each on overflow). Long messages split into multiple segments, special characters can shorten a segment, and both inbound and outbound billable segments may count.

How are AI voice minutes calculated?+

By connected call duration ($0.40 per connected minute on overflow). Transfers, forwarding, and carrier charges may bill separately, and high concurrency requires a custom plan.

Can I use my own API credentials?+

Yes. If you supply an approved client-owned API key, you pay that provider directly and we apply no usage markup. Integration and management fees still apply. When we use our credentials, third-party API usage is billed at provider cost plus a 30% administration margin.

Can callers reach a person?+

Yes. You set the escalation rules. Real emergencies and defined situations route to a human or straight to your team; the AI handles qualification and booking within the rules you approve.

How are leads qualified?+

Against rules you approve before launch, service area, service type, urgency, and whether the caller is the decision-maker, plus spam and solicitation filtering. You review and sign off on the script and escalation behavior.

Does OT Protocol guarantee leads or appointments?+

No. We operate the workflow that generates, qualifies, and books opportunities and report on the funnel. We don't guarantee a lead count, close rate, revenue, or job completion, those depend on your market, pricing, and how your team handles the work.

Which systems can you integrate with?+

It depends on the provider's API, webhooks, authentication, permissions, and your subscription level. See our integrations pages for current, honestly-labeled status. Where a direct integration isn't available, we use a reliable handoff (notification, shared calendar, or export).

What happens if an integration is unavailable?+

We fall back to a dependable handoff, internal team notifications, a shared calendar, or a structured export, so booked opportunities still reach your workflow.

How long does setup take?+

Most builds go live within a couple of weeks of your approving the script, rules, and campaigns, depending on integration complexity and how much custom workflow your trade needs.

Are setup fees refundable?+

Setup fees cover the build work and are generally non-refundable once that work has started. We'll confirm the specifics in your agreement.

How does cancellation work?+

Month-to-month with notice; we'll confirm the exact terms in your agreement. There are no long-term contracts.
